Document Controller

<p>As a Document Controller, you will play a critical role in managing and safeguarding all technical, design, construction, and compliance documentation across a fast-growing hyperscale data center program.</p>

<p>You will ensure that every drawing, model, report, specification, contract, and change document is accurate, traceable, and aligned with strict internal, client, and regulatory requirements. You will act as the <strong>gatekeeper of the project’s single source of truth</strong>, enabling coordination across engineering, construction, commissioning, quality, operations, consultants, and contractors.</p>

<p>This role is essential to maintain transparency, compliance, and governance as we expand our portfolio and scale our project delivery capabilities.</p>

<p><strong><u>Key Responsibilities</u></strong></p>

<p><strong>Document Management</strong></p>

<ul>

<li>Manage the full lifecycle of project documents - creation, revision, approval, distribution, and archiving - across all project stages.</li>

<li>Ensure proper version control, document numbering, and traceability for drawings, specifications, contracts, and reports.</li>

<li>Maintain and enforce document control procedures in line with company and industry standards.</li>

<li>Ensure that all documentation complies with internal policies, client requirements, and regulatory frameworks.</li>

</ul>

<p><strong>System Administration & Tools</strong></p>

<ul>

<li>Manage the document management platform (e.g., ACC, SharePoint, or similar) and ensure users follow proper workflows.</li>

<li>Support onboarding and training of internal and external stakeholders in document control tools and processes.</li>

<li>Contribute to the setup and continuous improvement of digital filing structures, workflows, and metadata standards.</li>

<li><strong>Lead continuous improvements to the digital filing structure, metadata rules, workflows, approval routes, and audit trails.</strong></li>

<p><strong> </strong><strong>Project Coordination</strong></p>

<ul>

<li>Support Design & Delivery teams in issuing, tracking, and updating project documents and design deliverables.</li>

<li>Coordinate with consultants, contractors, and vendors to ensure timely submission and approval of design packages.</li>

<li>Prepare and maintain project documentation logs, registers, and reports for management and audits.</li>

<li>Ensure alignment between design, construction, and operations documentation during project handover.</li>

<li>Support project handover activities, ensuring alignment between design, construction, commissioning, and operations documentation (O&M manuals, test records, as-builts, asset data).</li>

</ul>

<p><strong>Quality & Compliance</strong></p>

<ul>

<li>Monitor compliance with documentation standards and report on inconsistencies or non-conformities.</li>

<li>Support internal and external audits by ensuring documentation is complete, accurate, and accessible.</li>

<li>Work closely with the Quality and HSE teams to integrate document control with broader project governance processes.</li>

</ul>

<p><strong><u>Requirements</u></strong></p>

<ul>

<li>Bachelor’s degree or equivalent experience in Engineering, Project Management, or Administration.</li>

<li>3–5 years of experience in document control or project administration, ideally in data center, construction, or infrastructure projects.</li>

<li>Strong knowledge of document management systems (DMS) such as ACC,  SharePoint, others.</li>

<li>Solid understanding of design and construction documentation workflows.</li>

<li>Excellent attention to detail, organizational, and time management skills.</li>

<li>Proficiency in English and Portuguese (spoken and written).</li>

</ul>

<ul>

<li>Experience working in mission-critical environments (data centers, energy, or industrial projects) is a plus.</li>

<li>Familiarity with ISO 9001 quality management systems and document control best practices.</li>

<li>Understanding BIM documentation processes and integrations with document control systems.</li>

<li>Ability to support cross-border teams and multi-vendor collaboration setups.</li>

</ul>

<p><strong><u>Strongly Preferred</u></strong></p>

<ul>

<li>Experience in mission-critical environments (data centers, energy, industrial, pharma, oil & gas).</li>

<li>Familiarity with ISO 9001 and document control best practices.</li>

<li>Experience supporting cross-border teams and multi-vendor environments.</li>

<li>Knowledge of BIM documentation, model approval workflows, and integration with DMS platforms.</li>

<li>Experience working with sensitive data with tools such as Datascope.</li>
